Data Portal – Overview & Usage Guide

What it is

  • Purpose: A TPF-provided portal integrated with Ticketmaster (TM) that lets clients monitor the flow and processing of their membership data as it moves from TM into TPF systems.
  • Who uses it:
  • Clients: Track their own files only, review validation results, and download outputs.
  • TPF Admins: View and manage files across all clients.
  • Testers/Devs: Validate expected behaviors and user journeys without needing internal system knowledge.

Access and security

  • Authentication: Email/password with Multi‑Factor Authentication (MFA) enabled for all users.
  • MFA UX: Supports “remember this device for 30 days” to reduce prompts while maintaining security.
  • Permissions:
  • Clients can only view their own files and related validation/downloads; they have access to Overview, Imports, Import details, and Profile only.
  • TPF Admins can see all client files and filter by client; only admins can manage Users and Roles & Permissions.
  • Profile management (clients and admins):
    • Update: name and phone number.
    • Email: visible but not editable.
    • Security: change password and reset MFA (with “remember for 30 days” on re‑setup).

Key concepts

  • Files: Membership data files arriving from TM into TPF.
  • Statuses:
  • Received: File has arrived and is queued for processing.
  • Processed: File has been validated and processed; results are available.
  • Overview metrics (per processed file):
  • Accounts created
  • Accounts rejected
  • Validation summary:
  • Shows the number of validated records vs total records for a processed file.
  • Highlights invalid records identified by pre‑determined club rules.
  • Downloads:
  • Validation results: Export the validation outcome for audit/review.
  • Raw data file: Download the original file as received from TM.

Typical user journeys

  • Check latest file status
  • Go to the files/imports list.
  • Verify whether a file is Received (pending) or Processed.
  • Review processing results
  • Open a processed file’s details.
  • View totals for accounts created/rejected and the validation summary (validated vs total).
  • Inspect invalid records grouped by rule with reasons.
  • Download outputs
  • From file details, select Download validation results to export the validation report.
  • Select Download raw data file to get the original TM file.
  • From the imports list, select one or more files and choose Download to fetch those selected files.
  • From import details:
    • If no invalid rows are selected, Download invalid rows exports all invalid rows by default.
    • If some invalid rows are selected, the download includes only the selected rows.
  • Filter, sort, and paginate
  • Use filters and sorting on imports and import details to narrow results.
  • Adjust records per page to 10 / 50 / 100 as needed.
  • Navigate pages using pagination controls.

Pages and navigation

  • Home / Overview: High‑level snapshot of recent activity and outcomes.
  • Imports / Files list: All accessible files with status (Received/Processed), filters, and quick actions.
  • File details:
  • Header with file metadata and status.
  • Overview: Accounts created/rejected.
  • Validation summary: Validated vs total records.
  • Invalid records: Entries failing club rules with reasons.
  • Downloads: Validation results and raw file.
  • Profile & MFA: Manage profile and MFA; choose “remember for 30 days” on trusted devices.

Note: Notifications are currently disabled/removed from the portal.

Expected behaviors

  • Before processing (Received): Validation details and downloads are not yet available.
  • After processing (Processed): Overview metrics, validation details, and both downloads are available.
  • Role‑based visibility:
  • Clients see only their organization’s files.
  • Admins can filter across all clients.
  • Filters and sorting: Available and functional on imports and import details.
  • Downloads:
  • Imports: Download applies to selected files.
  • Import details: Invalid rows download exports all when none selected; otherwise only selected rows.
  • Pagination: Works across lists; records per page options are 10 / 50 / 100.

Notes for testers

  • Verify login + MFA, including “remember for 30 days” does not prompt again within the window on the same device.
  • Confirm that clients cannot access another client’s files or downloads.
  • Check both statuses appear as expected and that downloads are enabled only when processed.
  • Validate that invalid records display correct rule reasons and counts align with totals.
  • Confirm that Notifications are not visible/accessible.
  • Validate role access: clients see Overview/Imports/Import details/Profile only; admins can manage Users and Roles & Permissions.
  • Test profile updates: name and phone editable; email read‑only; change password and reset MFA available.
  • Exercise filters and sorting on imports and import details and verify results.
  • Verify imports list multi‑select download behavior and import details invalid row selection behavior.
  • Test pagination navigation and that page size controls offer 10 / 50 / 100 and update result counts accordingly.
